Personnel/Employment Procedures

HOW TO HIRE STAFF IN SOCIAL ECOLOGY

1. Determine Type of Staff Position
  • Contact your department administrator to advise him/her of your interest in hiring a new employee and determine the type of staff position you need: Career, Limited-Time, Contract or Floater/Temporary. See Appointment Options for Hiring Staff. Please note that posted recruitments are required for all Career positions; Limited-Time and Contract appointments do not require a recruitment.
2. Submission of Recruitment /Appointment Materials
  • Work with your department administrator to complete the Personnel Checklist. If grant funded, include grant name and account number. PI signs form if grant funded, and hiring manager (generally department administrator) signs as contact person. Indicate type of appointment, career or limited time. For floater/temporary appointments you may go directly to How to Hire Temporary (Floater) Employee
  • Complete a Job Description or update a current one. Note: All job descriptions must be put on the Job Description Form. To assist you, UCI job descriptions from previous campus recruitments may be used as samples and can be found in the Job Description Library
  • If limited-time appointment, and no recruitment is necessary, have incumbent complete Employment Application
  • Forward job description, Personnel Checklist (and employment application if Limited Time appointment) to the Personnel Manager in the Dean's Office.
  • Personnel Manager will review job description for appropriate classification and verify funding. (Allow one week for processing). If this is a non-recruited Limited Time appointment, this will end the appointment process.
  • Personnel Manager posts position to be recruited on Quick Requisition system. After posting, position may be viewed at the HR Job Listing Website
3. Recruitment, Selection, & Hiring Process
  • Hiring Manager will be given access to Quick Staffing to receive applicants' resumes.
  • Hiring Manager, with appropriate personnel, will Screen and Interview Prospective Staff
  • Prior to making any official offer, the Hiring Manager will consult with the Personnel Manager in the Dean's Office regarding the final selection of the candidate, to include appointment level, starting salary, start date, and offer letter.
  • When candidate has accepted the offer, Hiring Manager will complete Offer section in Quick Staffing to close recruitment. This will automatically trigger an email from Human Resources to the Hiring Manager requesting that the applicant set up a time to complete the background check.
